Prepare the receiving record before a recycling machine shipment arrives. Match every package identifier to the agreed packing list, machine reference, included accessories and documents. Keep quantity reconciliation separate from technical commissioning: a shipment can be physically received while an item or document still needs clarification.
Nanyuan’s Y81 Series Hydraulic Scrap Baler listing asks buyers to obtain a current drawing and data sheet for the selected configuration. The same configuration reference should carry through the commercial offer and packing documents. This guide provides a documentation workflow, not unloading instructions or a claim about any completed Nanyuan shipment.
Freeze the document set used for receiving
Collect the approved quotation or order specification, current packing list, transport documents and any relevant equipment drawings. Record revisions and identify the person responsible for resolving differences. If a revised packing list arrives, retain the previous version and make the change visible.
Check that the machine description and order reference are consistent across documents. A family name such as Y81 is not always enough to identify a particular configuration. Ask the supplier to explain missing model, serial or package references where those identifiers are part of the agreed documentation.
Build one row for each package
Use the actual package marks from the supplier’s final list. For each row, record the listed contents, quantity and unit, and the corresponding order line. Keep packages containing accessories or loose parts visible rather than assuming everything is inside the main machine crate.
If the documents use different units, reconcile them before receipt. A “set” in the quotation and several “pieces” in the packing list may describe the same scope, but the receiving team needs a written cross-reference. Do not convert one into the other by guesswork or assume unlisted items are included.
Prepare the site and responsible personnel separately
Have the qualified receiving and lifting team obtain the actual packed dimensions, transport mass and approved lifting or support information needed for its work. The packing-list checklist does not determine crane selection, rigging, floor capacity or safe access. Those decisions require verified equipment data and the responsible professionals’ plan.
Review the installation planning guide for the broader site-document questions. Do not energize, operate or dismantle equipment solely to complete a receiving count. Follow the manufacturer and site’s approved procedures for inspection and commissioning.
Record visible condition and identification
At receipt, capture the package marks and visible condition through the approved receiving process. Link photographs to the package row and record the time and responsible person. Describe an observation precisely, such as a damaged outer panel or an unreadable label, without immediately concluding that the machine inside is damaged.
Keep the transport document and any noted exceptions together. Applicable reporting procedures and deadlines depend on the actual transport and commercial terms; this article does not establish them. If an exception is found, refer it promptly to the parties responsible under the agreed arrangements.
Reconcile contents against the agreed scope
When inspection is permitted and safe, compare the identified contents with the packing list and order cross-reference. Record received quantity, unit and identification. Separate a confirmed mismatch from an item that has not yet been located or safely inspected.
Keep manuals, drawings and other agreed documentation as distinct lines. Record the machine or revision each document covers. A generic booklet should not automatically close a requirement for configuration-specific documentation. Similarly, a spare part whose identity is uncertain should remain open until its reference is confirmed.
Use a receiving sheet with clear statuses
- Order and machine reference
- Packing-list revision and package identifier
- Expected item, quantity and unit
- Received identification, quantity and visible condition
- Photograph or document reference
- Status: matched, not inspected, clarification needed or discrepancy
- Responsible party and next action
Assign one exception reference to each unresolved issue. This prevents several people from raising separate messages about the same missing identifier while another issue is overlooked. Update the record when an explanation or replacement document is received, keeping the supporting evidence with the decision.
Close receiving without overstating acceptance
Distinguish package receipt, content reconciliation, installation and operational acceptance. Signing or closing one internal checklist should not be described as proof that every technical requirement has been demonstrated. Follow the actual order terms and your organization’s approval process for each stage.
Before dispatch, send your intended receiving-sheet structure through Nanyuan’s contact page and ask for a packing-list cross-reference for the selected equipment. A clear package record gives purchasing, site staff and the supplier a common way to resolve questions without guessing what an unmarked accessory belongs to.
