Ask what recoverable control information the machine owner will receive before treating “documentation included” as a complete handover promise. A program backup, parameter record, electrical drawing and operator manual serve different purposes. Specify the deliverable, applicable machine revision and authorized restoration responsibility separately.
The Y81 series listing is a starting point for a configuration discussion. It does not promise source code, a particular backup format, software licenses or owner access to protected controls. Availability and permitted use must be confirmed for the selected proposal.
Separate requested files from confirmed deliverables
List the information the owner wants to retain, then ask the supplier to classify each item as included, separately available, restricted or not applicable. Possible categories for discussion include an approved configuration record, parameter documentation, a supplier-supported backup package and relevant version identifiers. Do not assume that all categories exist for every control system.
Record the supplier’s exact description of what is supplied. A PDF showing a setting is not necessarily a restorable file. A controller program package is not necessarily editable source code. A file being readable on a computer does not establish the owner’s right or ability to restore it onto machinery.
Connect every item to a configuration revision
Use the machine identification and accepted configuration reference to connect the handover material to the delivered equipment. Ask how the supplier identifies the applicable software, hardware and parameter revisions where relevant. A folder labeled “latest” can become ambiguous as soon as a service change occurs.
Keep an index of the accepted files and documents rather than renaming originals in a way that removes their revision identity. Record the handover date and source. If a later authorized change produces a replacement package, preserve the previous revision as superseded according to the owner’s retention policy, rather than leaving two unqualified versions in circulation.
Clarify who can restore and under what procedure
Ask which qualified party is responsible for evaluating and restoring the supplied information when required. Request the applicable support procedure and any necessary compatibility or licensing information. This is a commercial and documentation question, not an instruction to upload files, change control logic or bypass protected access.
Do not request passwords, secret keys or security bypasses in an ordinary inquiry. If legitimate access is part of an agreed support arrangement, it should be handled through the parties’ approved secure process. Ownership of a machine does not make every control modification safe or supported.
Keep the file register usable
- Requested deliverable and purpose: ____.
- Supplier-confirmed item and availability status: ____.
- Machine/configuration reference and revision: ____.
- File or document identifier and format: ____.
- Handover method and receipt evidence: ____.
- Permitted use or licensing questions: ____.
- Authorized restoration party and procedure reference: ____.
- Missing information, response owner and closure status: ____.
Receiving a file closes only the receipt question. Keep receipt, readability, configuration match and any agreed validation as separate statuses. The appropriate technical reviewer should decide what validation is necessary without experimenting on production machinery merely to complete a purchasing checklist.
Do not substitute a manual for the recovery package
The manual and training brief helps define audience, language and training deliverables. The electrical-document register helps route drawings to qualified reviewers. Neither automatically answers which recoverable control files will be supplied.
Bring unresolved differences into the proposal clarification record before final acceptance of the handover scope. Do not create a new contractual promise by interpreting a general brochure phrase broadly. Commercial inclusion, permitted use and technical suitability should each have a clear response from the responsible party.
Send an explicit handover question
Through Nanyuan’s contact page, send the candidate machine or quote reference, the owner’s requested deliverable categories and the intended support arrangement. Ask for an itemized response identifying what is supplied, in which format and for which configuration. Include no credentials or confidential control files in an initial message.
A useful handover leaves the owner with an identifiable, agreed document set and a clear route for authorized support. It does not imply unrestricted source access or permission to alter safety-related functions. Keep the register current when the supplier confirms a new revision so the retained information continues to describe the actual machine.
